Dynamic packages

What are Dynamic Packages? 


Dynamic Packages are an innovative way to manage your package inventory without the need to create new inventory lines, and therefore without the need for mapping in the Channel Manager or PMS.  Now, with the inventory and extras you already have in your booking engine, you can create unique combinations to offer your customers customized packages easily and efficiently.


How can I set up a new package?


Through the Witbooking backoffice, go to inventory > define inventory > packages.



Create New:


1. Identifier: it is the code with which we will generate that package, it must have a maximum of 8 characters. It is an internal Witbooking code.


2. Name: it is the title that we want to give to the package.


3. Description: we will be able to detail what the package offers us.


4. Type of rate: we have 3 options:

                           

  • Price per package: Selecting it opens a textbox below the dropdown (only allows numbers). The price will be divided by the days of stay and will be shown on the booking voucher.
  • Inventory line daily price: the daily rate charged from the linked inventory line will be applied.


5. Promotions: we will see all the promotions that we have created in inventory > promotions (the highlighted ones are          NOT), and we can apply as many as we want to that package. It is not mandatory to apply any promotion, it is optional.

Note: If the promotion created is exclusive to the dynamic package, no inventory lines should be selected in its creation, and only the promotion should be selected when the dynamic package is created.


6. Extras: we will see all the extras that we have created in inventory > extras, and we can apply as many as we want to that package. It is mandatory that the package has at least one extra created.

* Take note that mandatory extras will not appear.

* Extras of specific date type, unit type and unit/day type will not be shown for packages).


7.Validity:

                                   

            1. F. START ACTIVE: to determine when this package becomes active.

            2. F. END ACTIVE: to determine when this package is no longer active. 

            3. ENABLE BY DAYS OF THE WEEK (OPTIONAL).


if no range is configured, the package is offered for all searches, respecting the other restrictions                                                   (inventory lines, extras, minStay, minRel.....).


8.Promocode: if we apply a promocode, that package will only be visible if the client enters that promocode or if he/she accesses the booking engine through a URL that includes that promocode that unlocks the package.


9.The package is offered for: all the inventory that we have created in the booking engine will appear and we will select the lines that we want to link to that package.


10.Images: at the top of the manager we find the images module, from there we can upload the images that are associated with that package. It is mandatory to upload at least one image.



Once we have created the package, the booking engine will display the option of the package to be booked:



Once we select the package option, we will see the cheapest room as the first option:

But at the top of the booking engine you will find the option to change the type of inventory and you will be able to select which room you want to enjoy the package with:
 

Types of Rates in Dynamic Packages:


There are three types of rates that can be configured in dynamic packages:


1.Price per Package: This is a fully closed price. Selecting this option opens a textbox below the dropdown menu to input the package price (numbers only). The price will be divided by the number of stay nights and displayed in the booking voucher. When a promotion is selected, it will apply to the total package price.


Example:


Gastronomic Experience Package (Fixed Price) = 500 EUR → Booking for 5 nights → 500 / 5 = 100 EUR per night.


- WITH a 10% discount promo → 500 * 0.90 = 450 (= 100 * 0.90 + 100 * 0.90 + 100 * 0.90 + 100 * 0.90 + 100 * 0.90 = 450)
- Dinner at 3* Michelin Restaurant = 250 EUR/person configured in the Extras Manager as an optional extra.
- Price of the package WITH 3* Michelin Dinner Extra → 500 EUR → Booking for 5 nights → 500 / 5 = 100 EUR per night.
- Price of the package WITH 3* Michelin Dinner Extra | WITH Promo → 450 EUR → Booking for 5 nights → 450 / 5 = 90 EUR per night.


2.Inventory Line Price: It is calculated using the package components, inventory line price, and then the extras are added. Selected promotions in the package apply to the inventory line price (as long as it is selected in the promotion) and NOT to the extras price.


Example - WITHOUT promo

dbl_2a_SA_cg = 100 EUR

Spa Entry = 15 EUR / per person

Package price for 1 day = 130 EUR


Example - WITH promo

dbl_2a_SA_cg = 100 EUR

Spa Entry = 15 EUR / per person

10% Promo

Package price for 1 day = 120 EUR (100 * 0.90 = 90 + extras 30)


Dynamic Package Modification:


From the booking engine: Modifications are NOT allowed. The end customer will not be able to modify, and a message will appear instructing them to contact the property.


From the back office (BO): The hotel CAN make modifications, but with the following restrictions:

  • Extras cannot be removed.
  • Dates cannot be modified.
  • Inventory cannot be modified.
  • The daily rate table is removed.
