Edit inventory via excel

If you want to edit inventory lines in bulk and more quickly, you can do so using the Excel file available at:


Inventory → Define Inventory → Edit Inventory via Excel


Then, click on “Download Excel File.”



EXCEL LEGEND

Accommodation:
Shows the name assigned to the accommodation under Inventory → Define Inventory → Accommodations.


Configuration:
Shows the types of occupancies allowed for each accommodation.


Ticker:
The name of each inventory line (e.g., dbl1a_1b_HD_nr), made up of the accommodation name (room/apartment...), occupancy, meal plan, and rate condition.



Meal Plan:
Shows the meal plan associated with each inventory line.


Condition:
Shows the rate condition associated with each inventory line. This could be:

  • CG (free cancellation)

  • NR (non-refundable)

  • EB (early booking)

  • Or any other custom condition you wish to create.



Accepted values or text in the following columns: 

Daily Rate:


  • “Propia”: Writing "Propia" allows you to assign specific rate values using the calendar under Inventory → Management, which is typically managed by the Channel Manager.


  • Referenced rate: To reference the rate of another line, write the ticker of that other line in the "Daily Rate" column.


  • Referenced rate + supplement: You can also add numeric or textual supplements.

    • A textual supplement can be easily edited later under Inventory → Management → Supplements.

    • A numeric supplement must be edited line by line.

    • The supplement can be multiplied, divided, added, or subtracted from the nightly rate (not the total stay).


Availability:


  • “Propia”: Allows assigning availability values manually using the calendar under Inventory → Management.

  • Shared availability: To share availability with another line, write its ticker in the "Availability" column.

  • Numeric values are not accepted in this column.


Lock:

  • “Propia”: Allows manual control over locking via the calendar in Inventory → Management.

  • Shared lock: If you want a line to share its lock status with another, write that other line's ticker in the "Lock" column.
    The "child" line will depend on the "parent" line's lock settings.


Min. Stay / Max. Stay:

  • “Propia”: Allows setting custom stay restrictions using the calendar.

  • Shared stay: To share the same stay restrictions with another line, write its ticker in the "Min. Stay (d)" or "Max. Stay (d)" column.

  • Numeric values are accepted in this column.


Min. Notice / Max. Notice (Release time):

  • “Propia”: Allows manual configuration of release restrictions using the calendar.

  • Shared release: To share advance notice conditions with another line, write its ticker in the "Min. Release (h)" or "Max. Release (h)" column.

  • Numeric values are accepted, in hours.



Codes:

Promotional code you want to apply to that inventory line.


Excluded Check-in / Check-out Days:


  • Text values: This column allows excluding check-in or check-out on certain weekdays, using a specific code:
    L (Monday), M (Tuesday), X (Wednesday), J (Thursday), V (Friday), S (Saturday), D (Sunday)


Closed to Arrival / Closed to Departure:


  • “Propia”: Allows defining these restrictions manually.

  • Shared values: To share CTA/CTD settings with another line, enter its ticker in the corresponding column.


Rack Rate:


This column is used to indicate the ticker of the inventory line that represents the Rack Rate.
In the booking engine, this will be shown with a strikethrough price compared to the discounted one.
The idea is to clearly display the discount compared to the Rack Rate.



Example:
If the Rack rate is shown with a strikethrough and the NR (non-refundable) line is cheaper, the discount (e.g., 13%) will be visible.


Visible:

This column defines whether a line is visible to clients in the booking engine interface:

  • “0” = not visible

  • “1” = visible


Action:

This column allows you to delete an inventory line by writing the word "Eliminar" (Delete).


NOTE: The following configuration is required to successfully delete a line:

  • Columns for Daily Rate, Availability, and Lock must contain: "Propia"

  • All other columns must be empty

  • The last column (Visibility) must be set to 0
